Patient Statements & Collections

Patient responsibility is roughly 30% of practice revenue today. We treat patients the way you would want yours treated — clear statements, simple payment options, and a real person if they call. No aggressive scripts. No balances that surprise them after insurance posts.

How it works

  1. 1

    Statement design

Plain language, line-itemized, with a clear insurance breakdown.

  2. 2

    Multi-channel delivery

Email and SMS first, paper as backup — all branded as your practice.

  3. 3

    Payment options

One-click online pay, payment plans, and HSA/FSA support.

  4. 4

    Soft outreach

Friendly phone contact before any third-party collection step.

Patients now cover close to a third of what a practice collects. With high deductibles, the balance owed is real cash flow — not a front-desk afterthought. Many patient statement services still send opaque bills: dense codes, little explanation of what insurance paid, and a threatening footer. Those bills get ignored or become angry calls. Clear wording and early outreach collect more with less friction.

What a statement should show at a glance

Patients pay when they understand three things: what was done (plain language, not only 99214), what insurance paid and adjusted, and what they owe now. Include visit date, provider, and a patient-friendly description. Show plan payment, contractual adjustment, and remaining deductible or coinsurance separately. Put amount due and pay-by date where they are easy to see. Patient statement services that bury the balance under CPT jargon train people to ignore the mail.

Lead with digital delivery — email and SMS with a one-click pay link — then paper. Well-built digital statements often open at 80%+ in our book; paper-only cycles are slower and cost more. Branding stays yours: practice name, logo, return address. Patients should not need to know who eBillRCM is. PR-1 deductible and coinsurance lines must match the 835; bad posting turns statements into dispute generators.

Collect earlier than the third notice

Waiting for three monthly statements before anyone calls is how balances age into bad debt. When eligibility shows an unmet deductible, collect an estimate at check-in when clinically appropriate. After insurance posts, send the first statement within a few days of the 835. Cadence: day 0 statement, day 14 soft reminder, day 28 phone outreach, day 45 payment-plan offer, collections placement only after documented attempts. By a third paper statement with no human contact, many patients have forgotten the visit.

  • Plain-English descriptions mapped from CPT/HCPCS — patients should not need a coder to read the bill.
  • Online pay plus scheduled payment plans; HSA/FSA acceptance where your merchant setup allows.
  • SMS/email reminders before paper; paper as backup for patients without digital access.
  • Live phone work with clear, respectful scripts — no final-notice language on a first call after a confusing statement.

Payment plans and bad debt without damaging goodwill

A $1,200 balance after a procedure will not clear on one paycheck for many households. Offer structured plans early, with remaining balances clear on every reminder. Bad-debt placement is last resort after soft outreach fails — and only on balances worth the relationship risk. Target: 75%+ of patient-responsible balances collected within 60 days when statements are clear and outreach is consistent. Harsh scripts may move a few dollars faster and cost more in reviews and no-shows.

Compliance still applies to wording and channels

Statements and collection calls must respect FDCPA boundaries where they apply, state billing notice rules, and HIPAA minimum necessary on what you print or text. No clinical detail in an SMS. No facility fees that were never disclosed. Patient billing done well protects revenue and reputation together. If a balance is still in insurance A/R, it should not show as patient due until the payer posts or a true patient-responsibility CARC lands.

Common questions

Do statements come from you or from us?

From you. Statements carry your practice name, logo, and return address — patients do not see eBillRCM on the bill.
